Campus Experience Coordinator

Muskingum University invites applications for a Campus Experience Coordinator.  This position coordinates all aspects of the University’s campus visit program and provides office managerial/administrative support to the Enrollment Division, which includes both Admission and Financial Aid.  This position serves as the central point of contact for prospective students, families, and visitors of Muskingum University.

MAJOR RESPONSIBILITIES

  • General Office Management
    • Serve as the primary contact for admissions inquiries, responding to questions and requests from staff, faculty, parents, prospective students and public, in person or via telephone; directing questions to other admission staff or college personnel as appropriate.
    • Makes purchases and maintains inventory as related to campus visits.
    • Act as liaison between Enrollment and other offices/functions across campus (i.e.: Facilities, Faculty, Athletics, Room Scheduling, Administration, etc.)
    • Schedule all aspects of a student’s campus experience, including generating and sending confirmation letters, assigning tour-guides, scheduling activities requested during the visit, contacting and coordinating appointments with various on-campus departments and/or personnel.
    • Ensure that all campus visitors experience an elegant welcome and that relevant contact/profile data is captured from all prospective students.
    • Organize experience satisfaction surveys and prepare experience evaluation reports.
    • Direct incoming phone traffic related to admission and financial aid to the appropriate staff member. 
  • Event Management
    • Plan, coordinate, and supervise all aspects of enrollment management events including, but not limited to, Admission open houses, specialty events (e.g. get hooked days), yield events, bus tours, daily visitors and other programs as needed. 
    • Participate in developing new events as agreed upon by the VP of Enrollment and Director of Admission.
    • Work with the Admission staff to bolster event registrations and to achieve the budgeted number of event attendees as determined by the VP of Enrollment and Director of Admission.
    • Coordinate with Physical Plant regarding facilities and event set-up requests.
    • Coordinate all other aspects of event planning, including:  securing attendance of sufficient event participants per department, ordering refreshments, and outside vendor support.
    • Develop internal and external evaluations for all events and coordinate feedback into improvement initiatives
  • Muskingum University Tour Guide Association (MU-TGA)
    • Develop and maintain a manual or handbook containing all standard operating procedures and best practices for the MU-TGA
    • Create and present regular training workshops for tour guides.
  • Recruit student workers, as needed, and monitor and verify their hours for payroll.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Associate degree with at least five years of experience providing high-level customer service support
  • Excellent organizational skills. 
  • Superior interpersonal skills both verbal and written.
  • Ability to work closely with all constituencies of the University, in addition to the public. 
  • Ability to maintain a calm demeanor.
  • Effective problem-solving skills.
  • Ability to multitask and work in a public space. 
  • Ability to work in a high energy, fast-paced environment.
  • Experience leading the work of others is preferred.
  • Computer literacy, as well as experience with a CRM, Office 365, database applications, word processing, and spreadsheets is required.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Bachelor’s Degree
  • Prior experience in higher education
